This policy explains how Ontrak handles personal information collected through this website and related business enquiries. We apply the practices described here whether or not the Privacy Act legally applies to a particular interaction.

Information we collect

When you contact us, we may collect your name, email address, business name, phone number and the workflow or business information you choose to provide. Our hosting and security services may also process basic technical information such as an IP address, browser type, request time and pages requested. Please do not send passwords, payment details, health information or other sensitive information by email.

How we collect and use it

We collect information directly from you when you submit the form, email us or communicate with us. We use it to assess and respond to your enquiry, arrange a conversation, provide requested consulting services, maintain business records, protect the website from misuse and meet legal obligations. We do not add website enquirers to a marketing list unless they separately agree.

How information is held and disclosed

Enquiry information is sent through Resend to a monitored Ontrak inbox. The website is hosted by Railway and is designed not to store enquiry content in its own database or application logs. Information may be held by our email, hosting and business service providers and disclosed to them only where needed to operate the website, respond to you, deliver agreed work or comply with law. We do not sell personal information.

Overseas processing

Railway and Resend state that their primary processing operations are in the United States, so website and enquiry information is likely to be processed there. With your permission, Google Analytics uses global infrastructure and information may be processed outside Australia. Provider locations and subprocessors can change. We limit the information sent through the website to what is reasonably needed and do not send form contents to Analytics.

Security and retention

We take reasonable administrative and technical steps to protect personal information from misuse, loss and unauthorised access or disclosure. No internet service can guarantee absolute security. We keep enquiry information only for as long as reasonably needed to respond, manage any resulting business relationship, maintain necessary records, meet legal obligations and protect our systems, then delete or de-identify it when no longer required.

Analytics, cookies and embedded media

With your permission, this website uses Google Analytics to understand page visits, general engagement and successfully delivered enquiries. Analytics is not loaded until you choose to allow it. We do not send names, email addresses, phone numbers, enquiry text or other form contents to Analytics. You can change your choice at any time using the Analytics choices link in the footer. Google may process analytics information outside Australia. The Water Walkies testimonial is hosted with the website and does not load a third-party video player. Basic hosting and security functions may use essential technical storage or logs.

Access and correction

You may ask what personal information we hold about you or request a correction. We may need to verify your identity before providing access or making a change. In some cases, a legal exception may apply; if so, we will explain our response where required.
